Trip Messages

Trip Messages let you communicate with trip participants directly from HelpYouSponsor. Send targeted emails to all participants, specific roles, or individuals who haven't completed certain tasks. All message history is stored for reference, and email replies from participants are captured in the system.

Accessing Messages

  1. Navigate to the Trip Details page.

  2. Click the Messages tab.

Sending a Message

Click Compose Message

Click Compose Message.

Fill in the message form

  • Subject (required): The email subject line.

  • Body (required): The message content. Supports rich text formatting.

  • Channel: Select Email (default) or SMS if configured.

  • Recipient Filter: Choose who receives the message (see targeting options below).

Send or save

Click Send to deliver immediately, or Save as Draft to send later.

Recipient Targeting

You can target messages to specific groups of participants:

Filter

All participants

Every active participant on the trip

Leaders only

Only participants with the Leader role

Participants only

Only participants with the Participant role (excludes leaders)

Task incomplete

Participants who haven't completed a specific task

Any incomplete tasks

Participants with at least one incomplete task

Below fundraising target

Participants below a specified percentage of their fundraising goal

Specific individuals

Manually select individual participants

Message History

The Messages tab displays all sent and draft messages with:

  • Subject line

  • Date sent (or "Draft" status)

  • Recipient count

  • Whether replies have been received

Click any message to view its full content and any replies.

Reply Tracking

When participants reply to a trip message via email, their reply is automatically captured and linked to the original message. You can view replies directly in the message detail view without leaving HelpYouSponsor.

Search and Filtering

  • Use the search bar to find messages by subject or body content.

  • Filter by messages with replies to quickly find conversations that need attention.
