Participant Dashboard

The Participant Dashboard is the self-service portal where trip participants can manage their trip experience. After being invited to a trip, participants can log in to view their trips, track their fundraising progress, complete assigned tasks, download shared documents, and update their profile.

Accessing the Participant Dashboard

Participants access their dashboard by logging in through the donor login page. Once logged in, they can navigate to the trip section to view all trips they are enrolled in.

When a participant is first added to a trip, they receive an invitation email with instructions on how to access their dashboard. If the participant is an existing donor, they use their existing donor login credentials.

Dashboard Overview

My Trips

The participant's trip list shows all trips they are currently enrolled in. Each trip card displays the trip name, dates, destination, and their individual fundraising progress. Clicking on a trip opens the detailed trip view.

Trip Detail View

Within a specific trip, the participant can see:

  • Trip information - Name, destination, dates, and description.

  • Fundraising progress - A progress bar showing how much they have raised against their individual goal, along with the overall trip progress.

  • Donation history - A record of all donations received toward their fundraising goal, including donor names (if not anonymous), amounts, and dates.

Completing Tasks

The Tasks section of the participant dashboard lists all tasks assigned to the participant. Each task shows:

  • Task title and description.

  • Due date (if set).

  • Status - Whether the task is pending, completed, or awaiting approval.

  • Task document - If a PDF document is attached to the task (such as a waiver or form), the participant can download it from here.

Task Completion Workflow

Review the task

Read the title, description, and due date. If the task has an attached reference document, download and review it.

Check dependencies

If the task depends on a prerequisite, it will appear as "Locked" with a message indicating which task(s) you need to complete first.

Upload documents (if required)

Click "Upload" and select the file from your device. The task will indicate if a document upload is required.

Mark as complete

Click "Complete Task" to submit.

Await approval (if required)

If the task requires admin approval, your status shows as "Submitted" until an administrator or leader reviews it.

Handle rejections

If your submission is rejected, you will see notes from the reviewer explaining what to fix. Make corrections and resubmit.

Tasks with dependencies will not appear or will be marked as locked until the prerequisite tasks are completed. The participant will see a note indicating which tasks need to be finished first.

Document Access

The participant dashboard includes a Documents section where you can browse and download documents shared by your trip organizer.

Documents are filtered by your access level:

  • All Participants: Visible to every trip participant.

  • Leaders Only: Visible only if you have the Leader role.

  • Specific Participants: Visible only if you are on the document's access list.

To download a document, click the download icon next to the document title.

Updating Profile

Participants can update their profile information from the dashboard, including:

  • Bio - A personal description that appears on the public trip page. Participants can share their motivation for the trip, their background, and why supporters should consider donating.

  • Video URL - A link to a personal video (such as a YouTube or Vimeo link) that appears on their public participant page.

  • Social links - Links to personal social media profiles that supporters can use to connect with the participant.

Leader Dashboard

Participants with the Trip Leader role have an expanded dashboard with additional capabilities, depending on the permissions granted by the trip administrator:

  • View all participants - See a complete list of all trip participants and their fundraising progress.

  • Add participants - Invite new participants to the trip directly from the leader dashboard.

  • Manage tasks - Create, edit, and assign tasks to participants.

  • Approve task completions - Review and approve submitted tasks that require approval.

  • Send reminders - Send manual reminder emails to participants about outstanding tasks or deadlines.

  • View trip public URL - Access the trip's public sharing URL to distribute to supporters.

The leader dashboard provides a streamlined way for on-the-ground trip organisers to manage logistics without needing full administrator access to the HelpYouSponsor account.

Leader Console Access

If you are assigned the Leader role on a trip, your trip detail page includes a Leader Console section with expanded management tools. The Leader Console gives you admin-like capabilities for your specific trip, subject to the permissions your administrator has granted.

Leaders can manage participants, tasks, budgets, milestones, templates, and approve task completions — all from within the participant dashboard without needing admin portal access.
